Job Summary: Fair Manager Contractor reports directly to the Archuleta County Fair Board.  This person interacts a great deal with the public via phone and in person and is usually the first contact with the public. Primary responsibilities include working with the Archuleta County Fair Board to plan, organize, and execute the annual County Fair. This includes developing and maintaining the annual Fair budget, attending Fair Board meetings, completing duties assigned by the Fair Board, posting meeting agendas and minutes, and reporting Fair data to the Board of County Commissioners. This contract will also insure that the Fair Board has completed the tasks needed to put on a successful County Fair. 

Supervision Received: The Fair Manager reports to and receives supervision from the Archuleta County Fair Board.  They will also work in conjunction with the CSU Extension Office, to insure that the Archuleta County Fair meets the needs of the local 4-H/FFA program for their competitions.

Duties and Responsibilities (not inclusive): The following statements are illustrative of the essential functions of the job and do not include other nonessential or peripheral duties that may be required.  The administration retains the right to modify or change the duties or essential functions of the job at any time.

  • Assist volunteer Fair Board responsible for Archuleta County Fair.
  • Use excellent customer service skills, greet public in person, via phone, email and internet.
  • Financial responsibilities – Assist with and prepare invoices for payment with the county finance department, assist with yearly budget proposals and maintain an accurate and up to date budget, provide backup to Fair Treasurer in preparing daily cash/entry ticket bags and reconciling end-of-day cash/ticket totals.  Will need to work closely with the Archuleta County Fair Treasurer to complete these tasks. 
  • Maintain inventory of county fair supplies.
  • Record, label and maintain current controlled asset inventory list for finance.
  • Maintain annual inventory of Fair Board, Volunteer, Superintendent, and Royalty shirts and reorder.
  • General clerical tasks, i.e. copying, filing.
  • Post Executive Board, Fair Board, and Sub-committee meeting agendas and minutes on Archuleta County web site.
  • Monitor and/or Maintain Archuleta County Fair web site.
  • Monitor and/or coordinate the annual Exhibitor’s Fair Book.
  • Compile and monitor the Monthly Fair Manager Activities calendar of events to ensure the program is kept on track and projects are completed in a timely manner throughout the year.
  • Attend the Rocky Mountain Association of Shows and Fairs and/or the Colorado Association of Fairs and Shows conferences for educational purposes and to keep up-to-date on changes affecting the local Fair.
  • Attend local business and club meetings to share information about the Fair and to solicit volunteers.
  • Plan and facilitate the annual Volunteer Training Meeting and coordinate the annual Volunteer Appreciation Luncheon.
  • Maintain log of Fair Board volunteer hours worked throughout the year as submitted by each member.
  • Oversee annual Bulk Mailing of volunteer/informational flyer.
  • Perform other duties as assigned or needed.

Qualifications:
Excellent customer service and volunteer management.

Must have proficient computer skills to update websites and social media sites.

Must be able to create marketing materials for County Fair promotion.

General accounting experience.

The ability to focus and work independently.

A team player with the ability to handle a variety of tasks simultaneously.

Maintains a high standard of work in a busy and fun environment.

Ability to communicate effectively and efficiently both orally and in writing.
